How to Add Email Signature in Microsoft Outlook
Follow these steps to add your new signature to Microsoft Outlook on Windows, Mac, or the web version.
Outlook for Windows (Desktop)
- Open Outlook and click File in the top menu
- Select Options from the left sidebar
- Click Mail in the Outlook Options window
- Click the Signatures... button
- Click New to create a new signature
- Give your signature a name (e.g., "Professional")
- Click in the signature text area and press Ctrl+V to paste your signature
- Under "Choose default signature", select your new signature for new messages and/or replies
- Click OK to save
Outlook for Mac (Desktop)
- Open Outlook and click Outlook in the menu bar
- Select Preferences
- Click Signatures
- Click the + button to add a new signature
- Give your signature a name
- Paste your signature in the editor (Cmd+V)
- Close the window to save automatically
- In Default signatures, select your signature for the appropriate account
Outlook on the Web (outlook.com / Office 365)
- Click the Settings gear icon in the top right
- Click View all Outlook settings at the bottom
- Go to Mail → Compose and reply
- Scroll to the Email signature section
- Paste your signature in the text box
- Check the boxes to automatically include signature in new messages and/or replies
- Click Save
💡 Pro Tip: If images aren't displaying correctly, try using "Paste as HTML" or paste the HTML code directly into the signature editor.
How to Add Email Signature in Gmail
Add your professional signature to Gmail in just a few clicks.
Gmail (Web)
- Open Gmail and click the Settings gear icon (top right)
- Click See all settings
- Stay on the General tab
- Scroll down to the Signature section
- Click Create new
- Name your signature (e.g., "Work Signature")

How to Add Email Signature in Apple Mail
Set up your signature in Apple Mail on Mac, iPhone, or iPad.
Apple Mail (Mac)
- Open Mail and go to Mail → Preferences (or Mail → Settings on newer macOS)
- Click the Signatures tab
- Select the email account on the left
- Click the + button to create a new signature
- Name your signature in the middle column
- Paste your signature in the right panel (Cmd+V)
- Uncheck "Always match my default message font" to preserve formatting
- Use the "Choose Signature" dropdown to set as default
iPhone / iPad Mail
- Go to Settings → Mail
- Scroll down and tap Signature
- Choose "All Accounts" or "Per Account"
- Paste your signature
- Note: iOS may simplify HTML formatting. For best results, paste the text and add images manually via the Photos app
