Privacy Policy

How we collect, use, store and protect your personal information, written plainly and in line with Australian privacy law.

Last updated 14 June 2026

Vikilinks (we, us or our) is an Australian digital marketing agency based in Parramatta, New South Wales. We respect your privacy and are committed to handling your personal information openly and responsibly. This policy explains what we collect, why we collect it, how we keep it safe and the choices you have.

This page is general information only. It is not legal advice and does not account for your specific circumstances. For advice about your situation, please speak with a qualified professional. Where this policy refers to Australian law, the law as it applies at the time you read it prevails.

Who we are

Vikilinks provides search engine optimisation, AI automation, content and digital marketing services to businesses across Australia. We are the entity responsible for the personal information described in this policy. Our handling of personal information is governed by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), which set the standards for how Australian organisations collect, use, store and disclose personal information.

Information we collect

We only collect personal information that is reasonably necessary for our services and operations. Depending on how you interact with us, this may include:

  • Contact details. Your name, business name, email address, phone number and postal or business address when you enquire, subscribe or become a client.
  • Enquiry content. The message, brief, files or attachments you send us, and our correspondence with you.
  • Account and billing. Information needed to deliver and invoice services, such as a billing contact, ABN and payment records. We do not store full card numbers; payments are handled by our payment provider.
  • Website usage. Technical data your browser sends, including IP address, device and browser type, pages viewed and referring links, collected through analytics and server logs.

We generally collect personal information directly from you. Where it is reasonable and practical, we will collect it from you rather than a third party. We do not seek to collect sensitive information (such as health or political views) and ask that you do not send it to us.

How we use your information

We use personal information for the purpose it was collected and for related purposes you would reasonably expect, including to:

  • Respond to your enquiries and provide quotes.
  • Deliver, manage and improve the services you have engaged us for.
  • Send invoices and process payments.
  • Operate, maintain and secure our website.
  • Send you service updates and, with your consent, marketing you can opt out of at any time.
  • Meet our legal, tax and record-keeping obligations.

We will not use your personal information for an unrelated purpose without your consent, unless we are permitted or required to by law.

When we share information

We do not sell your personal information. We may share it only where needed to run our business and deliver your services, including with:

  • Trusted service providers who help us operate, such as hosting, email, analytics, payment processing and customer relationship tools, under obligations to protect your information.
  • Professional advisers, such as our accountant, where reasonably required.
  • Government agencies, regulators or law enforcement where we are required or authorised by law.

Cookies and analytics

Our website uses cookies and similar technologies to keep the site working, remember your preferences and understand how the site is used so we can improve it. Some analytics and advertising tools may set their own cookies. You can control or delete cookies through your browser settings, although some parts of the site may not work as well if you do.

For more on managing cookies and online privacy, the Office of the Australian Information Commissioner offers practical guidance at oaic.gov.au.

Storage and security

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These steps include access controls, secure hosting and encrypted connections. We keep personal information only as long as we need it for the purposes described or to meet our legal obligations, then we take reasonable steps to destroy or de-identify it.

No method of transmission or storage is completely secure. If a data breach occurs that is likely to cause serious harm, we will respond in line with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth), including notifying affected individuals and the Information Commissioner where required.

Overseas disclosure

Some of the providers we rely on, such as cloud hosting and analytics, may store or process data on servers located outside Australia. Where this happens, we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles.

Access, correction and your rights

You can ask us to access the personal information we hold about you, or to correct it if it is inaccurate, out of date or incomplete. Just contact us using the details below. We will respond within a reasonable time. In most cases there is no charge, and if a charge ever applies we will tell you first. If we cannot give you access, we will explain why in writing.

You can opt out of marketing at any time by using the unsubscribe link in our emails or by contacting us directly.

Refunds and Australian Consumer Law

Our services come with guarantees that cannot be excluded under the Australian Consumer Law. If a service is not delivered with due care and skill, or is not fit for the purpose we agreed, you may be entitled to a remedy. For a major failure you can choose a refund or to cancel; for a minor failure we may choose to fix the problem within a reasonable time. To request a remedy or refund, contact us with your order details and we will work with you to resolve it. You can read more about your rights at accc.gov.au.

Workplace safety

Vikilinks is committed to a safe and healthy working environment for our team, contractors and visitors, consistent with the Work Health and Safety Act 2011 (NSW). Where we collect information in connection with workplace health and safety, we handle it confidentially and only for that purpose.

Complaints

If you believe we have mishandled your personal information, please contact us first so we can try to put it right. We take complaints seriously and will acknowledge yours promptly and respond within a reasonable time. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

We may update this policy from time to time to reflect changes in our practices or the law. The current version will always be published on this page with the date it was last updated. Please check back so you stay informed.
